Privacy Policy

Your privacy is important to us. This Privacy Policy explains what information RoomieVide ("the Service") collects, how it is used, and your rights regarding that information.

1. Information We Collect

Account Information

When you create an account or join a household, the following information is collected and stored:

  • Name — used to identify you within your household
  • Email address — used for authentication, notifications, and account recovery
  • Password — stored in hashed (encrypted) form; we cannot read your password
  • Phone number (optional, premium feature) — provided voluntarily if you enable SMS notifications; used solely to deliver transactional text messages

Household and Financial Data

As you use the Service, the following data is collected and stored to provide core functionality:

  • Expense records — descriptions, amounts, categories, providers, and dates of shared expenses
  • Payment records — contribution amounts, dates, and confirmation status
  • Split rules — recurring expense configurations and percentage shares
  • Balances — calculated amounts owed between household members
  • Tasks, events, and grocery lists — household coordination data

Communication Data

  • Chat messages — messages sent within your household are stored to provide the chat feature

Technical Data

  • Session data — used to keep you logged in
  • Browser and device type — collected automatically via standard web server logs

2. How We Use Your Information

Your information is used solely to:

  • Provide and operate the Service (expense tracking, billing, reports, chat)
  • Authenticate your identity and maintain your session
  • Send transactional notifications (e.g., billing reminders, contribution confirmations) via email and/or SMS
  • Generate household financial reports
  • Improve the Service's functionality and performance

We do not sell, rent, or share your personal information with third parties for marketing purposes.

3. Payment Processing

Subscription payments are processed by Paddle.com Market Limited ("Paddle"), who acts as the Merchant of Record. When you subscribe, Paddle collects and processes your payment information (credit card, PayPal, etc.) directly. We do not store your payment card details.

Paddle may collect additional information as required to process payments and comply with tax regulations. Please review Paddle's Privacy Policy for details on how they handle your payment data.

4. SMS Notifications

If you are a premium subscriber and choose to enable SMS notifications, your phone number is transmitted to Twilio Inc. solely for the purpose of delivering transactional text messages on our behalf (e.g., new expense alerts, billing confirmations). Twilio acts as a data processor under our instructions.

  • SMS notifications are opt-in only — you must explicitly enable them in your profile settings.
  • You may opt out at any time by disabling SMS notifications in your profile, or by replying STOP to any message.
  • We do not use your phone number for marketing messages.
  • Message and data rates may apply.

5. Data Sharing

We share your data only in the following limited circumstances:

  • Within your household — Expense, payment, chat, and task data is visible to all members of your household team. This is core to the Service's functionality.
  • Paddle — Subscription and billing data is shared with Paddle for payment processing.
  • Twilio — Phone numbers and message content are transmitted to Twilio when SMS notifications are enabled. See Section 4 above.
  • Legal requirements — We may disclose data if required by law, legal process, or to protect the rights and safety of users or the public.

We do not share your data with advertisers, data brokers, or any other third parties.

6. Cookies and Tracking

The Service uses only essential cookies required for:

  • Session management (keeping you logged in)
  • CSRF protection (security)

We do not use tracking cookies, advertising cookies, or third-party analytics cookies. No profiling or behavioral tracking is performed.

7. Data Retention

  • Active accounts: Your data is retained for as long as your account is active and you are a member of a household.
  • After departure: If you leave a household or your account is removed, your historical expense and payment records are retained for the household's reporting accuracy. Your personal account data (name, email) may be anonymized or deleted upon request.
  • Account deletion: You may request complete deletion of your account and associated personal data by contacting us through the Support page.

8. Data Security

We implement reasonable technical and organizational measures to protect your data, including:

  • Encrypted passwords (bcrypt hashing)
  • HTTPS encryption for all data in transit
  • CSRF and XSS protections
  • Two-factor authentication (optional, user-enabled)
  • Role-based access controls within households

No system is 100% secure. We encourage you to use a strong, unique password and enable two-factor authentication.

9. Your Rights

You have the right to:

  • Access your personal data stored in the Service
  • Correct inaccurate information via your profile settings
  • Delete your account and personal data by contacting support
  • Export your financial data via the CSV export feature in Reports

10. Children's Privacy

The Service is not intended for use by anyone under the age of 18. We do not knowingly collect data from minors.

11. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you through the Service. The effective date at the top of this page will be updated accordingly.
